Co-Editing


Native Co-Editing is a secure cloud-based service that eliminates version conflicts and allows multiple users to work on the same file at the same time on Windows or macOS using our desktop apps, our web app in a browser, or MindManager for Microsoft Teams.

Enabling Co-Editing helps teams collaborate seamlessly. When a new editor joins a Co-Editing session, they immediately receive the latest version of the file, co-edit with all other editors in real-time, and view changes others are making to the file in real-time.

Co-Editing requirements:

All co-editors must have a Professional or Enterprise subscription and use the latest version of MindManager.
Files must be stored in Microsoft OneDrive or Microsoft SharePoint and desired participants must have edit permission for the file.
Files must be opened using the MindManager file browser or a link copied from MindManager.

To enable Co-Editing for a file stored locally, you must:

1 Add a cloud storage provider.
2 Save your file to your cloud storage provider.
3 Using the file-sharing options in your cloud storage provider, give editing privileges to desired Co-Editing participants.
4 Enable Co-Editing (if not enabled by default).
5 Copy and share the link to the file with participants.

To enable Co-Editing

By default, Co-Editing is enabled for all files stored in a cloud storage provider. If Co-Editing is not enabled, you can activate it by opening the map, clicking the Co-Edit drop-down on the Home tab, clicking Enable Co-Editing.

To invite another user to co-edit

1 Do one of the following:
On the Home tab, click Share, then click Copy Link.
In the Co-Editing section of the system overlay, click Copy Link.
The link to the map is copied to the clipboard.
2 Paste the link in a message or email.
When the recipient clicks the link, they can choose whether to open the file in their desktop application or MindManager Web, a web-based app.

They must sign in with a valid licensed account to open the file in either the desktop or web-based applications.
If the user hasn’t already added the cloud storage service where the file is stored to their places, they must do so.

Recipients of the link must have permission to edit the file, which you can grant using your storage provider’s file-sharing options and interface.

If a user is working on a file that another user with a license that supports Co-Editing wants to edit, they can request Co-Editing. If the initial user accepts the request, all current changes are saved, Co-Editing is enabled, and file is reloaded for Co-Editing.

While Co-Editing

When one user in a Co-Editing session has a topic selected, no other user can edit that topic. A selected topic is indicated by a frame with a unique color and the name of user who selected it.

Some elements within a selected topic are still accessible to anyone in the session.

You can also add parent, sibling or subtopics to a topic selected by another Co-Editor using the topic's Quick Add tabs.

When another user joins a Co-Editing session, a tab is added to the top of the Task Pane displaying the number of participants. To see who else is participating in the Co-Editing session, click the tab. Users are grouped based on their edit status and listed alphabetically:

Editing — for participants with edit permission
Waiting to Edit — for participants with edit permission but no Co-Editing license who opened the file after someone else was already editing. They can edit as soon as there are no editors.
Viewing — for participants with view permission

During a Co-Editing session, you cannot edit SmartRules, macros, topic styles, themes, saved queries, filters, or grids in Gantt Pro. You can use these features during when Co-Editing is enabled if you are the only editor and Co-Editing is paused. For more information, see To pause a Co-Editing session.

Changes larger than 10 MB cannot be made during a Co-Editing session.

During a Co-Editing session, Autosave is automatically enabled.

To pause a Co-Editing session

To end a Co-Editing session
